Wedding General terms and conditions

  1. Origins Floral have no minimum spend. However a minimum order of £750.00 for wedding day exclusivity for our services. We are happy to accept intimate weddings, however we will continue to accept aditional bookings for the specified date.

  2. A £100 booking fee is required to hold and book your wedding date. This deposit will be subtracted from your final wedding bill. If for any reason you decide to cancel your wedding, this deposit is non-refundable. If you decide to postpone your wedding, we will hold the deposit until the wedding goes ahead and may be subject to rearrangement fees.

  3. Origins Floral will provide a quote with all the elements listed. Any other items added will be charged at an additional cost per item. The quote may be re-issued to reflect any changes.

  4. You may adjust the either adding or removing items up to one month prior to the wedding date, beyond this point you may only add items. The final check will be confirmed one week before the wedding by email or phone. No additional items can be added beyond this point and we will not provide any additional items or services on the day of your event.

  5. Final payment for all flowers, foliage, sundries etc. must be made in full one month prior to the event. Any additional items or services will the invoiced separately and must be paid in full immediately upon ordering.

  6. If final payment is not received, no order will be made until payment is made.In these circumstances you may not be able to secure the exact varieties which you have specified for your event. Once final payment is received no refund can be made in any circumstances.

  7. Origins Floral cannot be held responsible for any failures of delivery of special orders by the wholesaler. In the rare case of delivery failure, we will do all we can to substitute the ordered flowers with the nearest varieties to the original order. Small variations in colour and size may occur.

  8. All flowers will be delivered to you in prime condition in water or suitable packaging for maximum shelf life. It is the responsibility of the receiver to make sure the flowers are kept in optimum conditions according to the florist’s instructions. Origins Floral cannot be held responsible for any failures in the flowers if these instructions have not been adhered to.

  9. If any elements are being transported from one venue to another by anybody other than Origins Floral staff or associates you do so at your own risk.

  10. On setting up a venue it is the responsibility of the person who made the booking to make sure access and parking is available near the venue. Any parking charges will be chargeable and invoiced within 2 days of the event and must be paid immediately.

  11. To enjoy your day, we will endeavor to be off site 1 hour before your event starts. It is vital to ensure that we have access at suitable times in order to do this smoothly. If there are any adverse weather conditions, resulting in adaptation of the schedule, we will work as discreetly as possible to ensure the work if finished in good time to minimise any disturbance to you and your guests as much as possible.

  12. Cake Decorating – All cake flowers must be ordered and paid for in advance and in full. We require your cake vendors details so that we can confirm the cake details and the manor of decoration required. Origins Floral will not be responsible for decorating the cake unless instructed and paid to do so. This will be discussed in full during your consultation.

  13. Origins Floral reserve the right to use your event and images of it for publicity and marketing purposes after your event on our website, social media and printed advertisements.

  14. If you choose not to have set up on the day it is your responsibility to organise suitable set up. Any breakages or damage to flowers/ arrangements/glassware or props will then be your responsibility.

  15. If choosing to hire glassware/props or any other sundries, we require a hire deposit that will be refunded to you on return of your hired items. These must be returned within 2 days EMPTY, in their original packaging and in the condition in which they were received.

  16. It is the hirers responsibility to fund any postage or delivery charges. If items are lost, broken or not returned a charge for replacing the items will be incurred and will be deducted from the hire deposit. If the replacement value is in excess of the deposit held an invoice for the remainder of the balance will be issued and must be paid in full within 7 days of the invoice date. We can collect glassware, but this will be charged for.

  17. Origins Floral cannot be held responsible to failure to deliver any order due to an Act of God, terrorism, crime, transport failure, illnesses of staff members, extreme weather conditions (including snow and flooding) or denial of access to venues or religious sites.

  18. Should you be unhappy with your flowers on the day of your event, you must contact Origins Floral within 2 HOURS of receipt so we can do whatever is necessary to rectify the problem. Any duration of time after the wedding day we are unable to refund any money as it is too late to resolve is issues after the event has finished.

  19. This is a guide price and will be subject to change following the detailed consultation to account for any changes you make nearer to the wedding day and reflect the market cost of the flowers at the time of ordering.

  20. Seven days after the quote has been issued you will be required to sign our wedding contract along with our Terms and conditions Contracts. These will be countersigned by Origins Floral upon receiving the booking deposit and will then form a binding contract 

  21. Once your wedding date is booked with us, you should arrange a further detailed consultation approximately 6 - 8 weeks before your wedding day. This is to finalise the arrangements and discuss any last minute changes. 

  22. All wedding consultations will be made by appointment only. The initial and detailed consultations are complimentary. We will be available for contact by phone and email at any stage to answer any questions and queries you may have. Further requests for consultations may be charged. 

  23. Any changes made to a wedding Flower order must be submitted in writing by the bride, groom or appointed acting party. We order your wedding flowers approximately one month before your wedding date, dependent on type of flowers chosen. You will not be allowed to make any changes after the order has been placed without additional fees. We will however try to make small changes where possible to accommodate your needs. You may adjust the either adding or removing items up to one month prior to the wedding date, beyond this point you may only add items.   24. As fresh flowers and foliage are living products, there are occasions when particular varieties may be unavailable. Whilst every effort is made to source products accordingly, sometimes we are unable to obtain a particular type of flower. All fresh flowers and foliage are subject to availability and stringent quality checks, as such Origins Floral reserve the right to use a similar flower in place of the previously chosen flower. 

  25. The final invoice for your wedding flowers will be issued to you after your detailed consultation. The final payment must be paid in full 30 days before the wedding. Origins Floral reserves the right to cancel any wedding flowers, if payment is not made by this date. We are not obliged to offer any compensation for inconvenience caused. 

  26. Prices quoted will take into consideration a premium for weddings occurring over Valentine’s Day, Mother’s Day weekend and any public / bank holiday. 

  27. We require a signature from yourself or an appointed person when you receive your flowers to confirm their delivery is of acceptable condition and that quantities are correct. Any queries must be raised within 2 hours of delivery.

  29. All design sketches provided by Origins Floral are subject to Copyright law - The Copyright, Designs and Patents Act 1988 - and cannot be shown to, copied or used by any other florist or floral designer. All designs are the property of Origins Floral and if you choose not to use Origins Floral to provide your wedding flowers, all design sketches must be returned without being copied.

 

Cancellation Charges 

  1. Any cancellations made within 90 days of the booked event: No deposit refundable. 

  2. Any cancellations made within 60 days of the booked event: No deposit refundable and administration charge will be applicable of £50.00. 

  3. Any cancellations made within 30 days of the booked event: No deposit refundable and 50% of the final balance will be required. 

  4. Any cancellations within 14 days of the booked event: Full balance will be required. 

 

Prop Hire - Breakages/Damages/Loss (Please also refer to our Terms of Business contract)

  1. All equipment/props remain the property of Origins Floral, unless otherwise stated for purchase.

  2. Where the total hire is less than £300 the breakages/damages/loss deposit will be £100; where the total hire exceeds £300 the breakages/damages/loss deposit will be £150.

  3. A deposit is required with payment of the final balance to cover any breakages, damages or loss of the hired items, which will be refunded once the hired items have been checked post collection and no breakages, damages or loss is found.

  4. Should any breakages, damages or loss be found we will deduct the appropriate replacement amount from the deposit and refund the balance with a detailed report.

  5. Should any breakages, damages or loss exceed the deposit paid we will send out an invoice within 7 working days from the date the hired items are checked, which is then payable within 10 working days of receipt of the invoice.

  6. During our post collection check and where items are found not belonging to us in replacement of ours we will deduct the appropriate charges from the damages deposit, or will invoice for these items.

  7. If a lost item is returned to Origins Floral in its original condition within 21 days, a refund of any fee paid will be made.

  8. Equipment hire is based on 2 days (48 hours) hire duration. On request, the Hirer may collect 1 day before the event subject to Equipment being available. An extra days hire may be charged if necessary. (Please refer to our Terms of Business contract)

  9. The Hirer shall be solely responsible for the Hired Equipment, not the reception / event venue / hotel / florist or any other third party to whom shall take possession of the hired Equipment.

  10. The Hirer shall be alone responsible for insuring the hired Equipment is kept in good order from the time of receipt of delivery until back into the possession of Origins Floral.

  11. Any damage to hired Equipment or missing Equipment will be charged to the Hirer. Replacement of Equipment is charged at current market price. It is then the responsibility of the Hirer to reclaim any of these costs from the venue if the venue was at fault.

  12. In the event that Equipment is unavailable, Origins Floral will endeavour to notify the Hirer as soon as possible and promptly refund any monies already paid. The extent of Origins Floral liability is limited to a refund of monies already paid.

  13. If the replacement or repair costs are higher than the holding deposit, Origins Floral will invoice the Hirer for the difference and the Hirer agrees to pay such invoice within 14 days of receipt.

  14. For Equipment that are not returned within 2 days from the hire end period and where Origins Floral have received no contact from the Hirer, Origins Floral are entitled to assume that the Hirer has no intention of returning the property. In these circumstances, Origins Floral reserve the right to notify the authorities as appropriate and invoice the Hirer for the full replacement cost of the Equipment. (Please refer to our Terms of Business contract)

  15. All hire Equipment is for indoor use only unless specified.

  16. The Equipment hired must not be altered in any way, without prior written approval. Some Equipment is fragile, please handle with care at all times. The Hirer under no circumstances will be permitted to spray the Equipment with any hairspray, perfume or any other spray.

  17. The hire Equipment remains the property of Origins Floral. The Hirer will undertake not to sell, offer to sell, assign, charge, pledge, underlet or otherwise deal with the any Equipment provided by Origins Floral in any circumstances.

  18. The hire charges do not include delivery and collection charges unless otherwise agreed prior to hiring.

  19. The Hirer must return all Equipment rented unless they are provided as part of the service, in which case this will be clearly specified in the quotation.

  20. All goods should be pre-packed in their original boxes if collection has been agreed. (Please refer to our Terms of Business contract)

  21. If full payment is not received before the hire date, the hire will not proceed and any deposit paid will be forfeited.

  22. If orders are cancelled more than 30 days in advance of the hire date, the deposit will be returned.

  23. If orders are cancelled less than 30 days in advance of the hire date, the deposit will be forfeited.

 

Cleaning

  1. Please ensure that the hired items are carefully hand washed before wrapping in the original packaging and placing in the crates supplied on delivery ready for collection/return. (Please refer to our Terms of Business contract)

  2. **Please note that under no circumstances should any of our glassware or other containers be put through a dishwasher. We can provide a washing service at a cost of 15% of the total hire charge, otherwise the hirer will be responsible for the hand washing of all items.**

 

Collection and Delivery

  1. Items are delivered and collected by ourselves from and to the client’s chosen venue.

  2. Origins Floral charge £50 to deliver and collect within 20 miles of our studio. The Renter is welcome to collect and return goods to Origins Floral by appointment. Deliveries / collections outside this are charged at £1.00p per mile.

Staging/Set u Fee

  1. Set up Crew setup of designs will incur a charge per hour rate for each person required to complete the set up. Chargeable rate is £10 per hour per person.

  2. Turnaround Crew – If you opt for us to move your items for you from one location to another to complete the set up on your behalf. Chargeable rate if £10phpp, plus any fuel costs involved.

 

Strike Down/Collection

  1. If you require us to transport your flowers to another destination after the wedding on your behalf. Chargeable rate is £10phpp, plus any fuel costs involved.
